  • Edit Functionality

Any document you have already uploaded or created in the module can be edited within it. There is no need to download the file.

  • Split Functionality

The Special functionality for document splitting. When you scan a lot of pages you will no longer have to save them manually, one by one. Upon scanning, all pages are saved in one document. If needed, you can split the document by groups or by page. Split pages or groups will be automatically converted into separate files.

  • Lock Functionality

The ‘lock’ functionality in this module is useful to avoid the confusion that is often the result of more than one person working on the same document. If someone is working on a particular document, they can click on a lock button. This way, if some other person comes across the same document with the lock icon, they would see that someone is already working on this document. At this point, the new individual can still choose to work on the same document or start working on a new one.

  • Archive Functionality

You can archive the document file as well as unachieved it whenever needed. You are also allowed to delete the archived file when it no longer serves you.

  • Tagging Functionality

Tagging functionality can be used for the classification of files, for example, if you want to update the status of your file, then you can create a tag for the same and select the status from the option.

  • Replace Functionality

The user is allowed to replace the updated document, keeping with previous tags. Also, users can track and retrieve the previous version of the document.

Odoo, also known as On-Demand Open Object, is an enterprise resource planning that combines a suite of business management software tools that can be used company-wide. Though often used by small and mid-sized enterprises (SMEs), this ERP can work for all larger businesses and caters to almost all the industries across the globe. 

Equipped with 30 enterprise apps (licensed) and over 18,000 Community apps (free and open-source), Odoo is the holy grail of all business management tools. Each app helps facilitate an integral component of a working business.

In fact, there are specific apps for specific issues. For example, the Sales team may require an app that helps boost sales, while an Accounting team may require an app that helps manage finances. Likewise, there are apps that amplify marketing, build a website, among many other things. 

Additionally, Odoo apps are also segregated by company departments in order to ease the search (i.e. Human Resources apps include applications created to facilitate recruitment, to manage employees work hours, and such).

What Is Odoo Community?

As mentioned earlier, this edition provides users with over 18,00 free apps that are completely open-sourced. Odoo actually began its journey with this version. It wasn’t until 2015 did the enterprise version appear.

What does that mean?

In a nutshell, with Odoo Community, developers can easily tweak and tailor an app within this edition to best fit your company’s specific needs and requirements.

So with how great the Community edition sounds, you might be wondering why the Enterprise edition is even an option?

Well – since Odoo Community is marketed as the basic version, it also only provides a fraction of what Odoo Enterprise provides. Essentially, Odoo Enterprise offers what Odoo Community provides in addition to a set of extra modules. 

Four Distinct Characteristics:

Modules / Features

One of the most notable differences between Odoo Community and Enterprise is their functionality. As we established earlier, Odoo Community came first. Enterprise, on the other hand, is built on top of the open source Community layer and has many additional modules & features.

Support, Bug Fixes, and Upgrades

Another major difference is support. Many businesses place importance on being able to get support when they need it, as it is a crucial component in case of emergencies. While Odoo offers support for the Enterprise edition, it does not do so for Community.

Odoo also offers upgrade assistance as long as it is into an Enterprise version (i.e. from Community to Enterprise or Enterprise to Enterprise).

Hosting Options

Community and Enterprise also differ in their hosting. With Odoo Community, you handle hosting yourself, regardless of whether you are using your own on premise servers or hosted servers. Given this is your own open-source instance, you can customize it to your heart’s content.

With Enterprise, you have both these options, but you have an additional cloud hosting option using Odoo.sh.

Since Odoo Enterprise is a licensed version of Odoo, it adds yearly expenses in licensing fees. This means that Community is often less expensive for companies. 

The “better option” simply depends on what you are looking for, or need.

Odoo Enterprise has many modules and out-of-the-box features that Odoo Community lacks. So if you choose Odoo Community, and want to ‘add-on’ to it by incorporating these features, the price will drastically increase with each addition.

  • In BOM, to define Operation Sequence & their dependency on each other is missing
  • In Work Center, can not configure multiple Operators & allocation of Operators to the Work Centers and Work Orders
  • In Operations, ability to configure whether cycle time is manual or automated is not available
  • At Sales Order, ability to calculate ‘Available to Promise’ (ATP) date is missing
  • In Mfg. Order, validations are missing for not to start operations without having materials reserved, not to Reserve the Materials before Plan, not to manufacture more than confirmed Quantity and not to complete the MO without completing all the Operations
  • Inability to calculate finite Capacity Planning
  • Facility for either Forward or Backward Capacity Planning is missing
  • Play around with Draft Planning via Playground before finalization is not possible
  • Resource leveling via Planning by Resource is not available
  • Material Reservation & un-reservation based on the priorities is not possible

Finite & Infinite Production Planning & Scheduling

The differences between Finite and Infinite Capacity are as seen below:

Finite capacity Planning is a detailed scheduling strategy that takes into account the available capacity of a manufacturing facility’s resources to schedule jobs and operations. This strategy recognizes that every manufacturing facility has a fixed amount of resources that have an upper limit to how many items they can produce in a given time frame. An infinite capacity planning assumes that the due date of every order is absolute. So, fulfilling Orders is the only focus and assumes additional resource capacity is readily available. If the resources are not available, the time requirements on Work Centers or for Operations or perhaps even the customer due date need adjustment.
The finite approach allows Planner to view an overall impact of the new orders on the manufacturing capacity and without reprioritizing the existing work, any due dates that require adjustments The infinite approach allows Planner flexibility not to dwell on the overall impact of new orders on the manufacturing capacity and reprioritizing the existing work
Finite capacity planning creates a more realistic schedule for the manufacturing processes especially in the short run. Infinite capacity planning allows scheduling for the manufacturing processes in the long run.
Finite planning also levels the capacity requirements of each work center and essentially creates a finite schedule for the manufacturing facility. Infinite planning assumes additional resources available whether capacity, resources or time and essentially creates an infinite schedule for the manufacturing facility.

Available to Promise Concept

Available-to-Promise (ATP) is a crucial element in supply chain management. It basically forecasts the quantity that can be produced on or before a chosen date to deliver the order that has been placed by the customer. Based on the data of materials and proper resource allocation, ATP can be derived. It is also important to consider the direct & indirect demand factors while predicting the ATP.

Planning Playground

    • Planning Playground will enable Planner to play with Work Orders for optimal Productivity in Draft stage
    • Once Planer gets satisfied with the Planning then Draft can be Published
    • If Planer is not satisfied with the Draft Planning then can Revert
    • Once Draft Plan gets Published, then would be available for further modifications

Planning by Work Center

    • Planner would be able to move Work Orders forward & prioritize by moving backward
    • Planner would be able to move Work Orders towards alternate Work Centers
    • Planning would be done based on Week & Global offs  
    • Once Work Order gets moved then the depending Work Orders will get auto moved further based on the available Work Centers
    • In case of manual Cycle Time, Planner can add or remove Operators for a Work Order for an optimal Productivity
    • In case components are not available then Planning Bar will get display as dashed
    • In case order priorities changed then Components will get allocate to the prioritized Order via Reallocation button

Planning by Resource Center

    • Planner would be able to review Resource allocation per Work Orders
    • In case of manual Cycle Time, Planner can add or remove Resources for a Work Order for an optimal Productivity
    • With this view, Planer would be able to review overall occupancy of all the Resources

Sales Order

    • At Sales Order, if Sales Rep checks ‘Available to Promise’ (ATP) checkbox, Odoo will auto compute  ‘Expected Mfg. Completion Date’ and will display on the Sales Order
    • ATP date will be calculated on the basis of existing Work Orders completion date plus calculation of manufacturing time frame for the Sales Order Qty. booked.

As we know, repairing involves restoring faulty products or applications into their former state, or to a workable condition so that it can be reused. This process needs to be managed in a proper manner and every step of this repair will need to be marked down and tracked in order to achieve optimal and easily-manageable results.

Before we even dwell into the specifics – let’s go over the platform. While the customer has their own portal to access information, the internal team has another where everything is centralized; a job document. From this job document, the internal team can easily view the related RMA links, all the different stages of the workflow laid out, the current stage of the job, quotations, parts orders on P.O., and much more – all under one easy-to-use platform. Not only is everything visible (including what stage the repair is in), all notes, details surrounding this are available too.

This makes the internal team’s job much easier, since they don’t need to go back and forth between screens, everything can be viewed from the one document.

Good RMA Process

The return merchandise authorization (RMA) is a key component within this industry. Having a seamless process that can guarantee everything is being checked correctly is imperative to company success. Let’s take a client example and see what was done to ensure a smooth RMA procedure. For the sake of the example, the client will be named Company X. Please note that Company X has Odoo Electronic Repair ERP implemented and customized to best fit their needs.

  • The process begins quite simply. The customer who needs their product repaired talks to the sales team at Company X to get their device fixed. Company X will then create a RMA document which will record the customer’s information, the damage description, necessary specifications such as warranty info (if applicable), manufacturing information, and whatever else is needed. 
  • Once the document is created, Company X will share it with the customer. At this point, the customer now has all the details Company X has, as well as the sales order number (ie. reference number). The customer is then directed to send the device to the appropriate warehouse upon receiving the RMA document/number.
  • When Company X receives the package with the device (i.e. electronic gadget) at the warehouse, the ‘receiving Team’ verifies that the information on the RMA checks out with the device received. This is also inputted into the Odoo inventory app via the Company X ‘receiving team’.
  • While Odoo Robotic Repair ERP has a plethora of amazing out-of-box features, its best one is its ability is customizations. If you customize Odoo correctly, the RMA would allow Company X to do the necessary configurations, prioritize what needs to be attended to, ensure accurate customer contact information, return address, as well send the RMA documents via email (and a hard copy) so that the customer can view it whenever they want to.
  • On the Odoo app, those assigned to complete this repair job will see that once the RMA is received, a button will become available to press on, and upon clicking on it – a job will be created from the RMA document.
  • When the job is created, the RMA module is done.

Workflow Configuration with Stages

So we discussed a good RMA process above, but what about the workflow configuration? How does everything flow once the job is created? We’ll continue using Company X as our example, and elaborate below.

For starters, it is worth noting that a job can take anywhere from 7 days, all the way up to months to complete. That is why a workflow was created for Company X.

  • We begin when the Production Manager (PM) evaluates whether the device (or the device’s part) is repairable or not. If it is repairable, then how much will the repair cost? Once that’s determined, the PM talks to the sales team and the sales team creates a quotation for the job. This quotation is then sent to the customer. When the customer sees the quotation from Company X, they can either approve or disapprove the quotation. Company X will have to act accordingly to the customer’s decision. If approved, we proceed to the following steps. If not, there may be deliberation (back and forth with the sales team) or Company X will ask the customer whether they want their faulty device back or would like to discard it.
    • The customer could also decline the quotation for a number of reasons: longer wait time, higher quote than anticipated, etc. If this happens, Company X will ask the customer if they want the product returned without repair or scrapped. Please note that this process is a combination of customization as well as out-of-box functionality.

Let’s back-track a little and go over some terms a customer might see.

  • If we proceed with the repair, then the customer – as mentioned earlier – will be asked to ship the device to the warehouse. When the part is received, we enter the waiting evaluation stage. This is where the device is evaluated ‘in-person’ – physically. 
  • Once the PM evaluates this, the device enters a ready-to-quote stage. This is where the Company X sales teams send a quote to the customer and the customer sees the quote/waiting for approval. Please note, this was an Odoo customization.
  • Once the customer approves of the quote, the job will change to ready to repair. At this point, the PM has to assign a technician to the job. Once that is done, the PM will change the job status to assigned
    • There is an Odoo out-of-box functionality where the PM could add notes for the technician to see and review prior to starting the repair job. Additionally, there is a chat text-box where the team can communicate with one another internally.

Repair Technician Overview | Odoo App

Now let’s briefly discuss what the technician sees when they log into the Odoo app on their phone.

  • When a technician logs into the Odoo app, they can see what’s been assigned to them and pick up a job based on priority.
  • When the technician completes the job and the repair is done, we move onto the quality control (QC) inspection phase of the workflow.
  • In this phase, the QC individual will pick up where the repair technician left off to make sure everything is done properly, nothing is missed and that the device works.
  • Once the QC inspection is done and approved, the repair technician will send a service report to the customer so that the customer can see and understand what operations were performed during the repair. Please note, this is also an Odoo customization that was done for Company X.

Let’s backtrack once again. What if the technician doesn’t have the necessary parts to completely repair the device?

  • In this instance, the technician can create a purchase order for the vendor from where the part will be purchased. They can also create transfers (if the product needs to be transferred elsewhere so someone else can repair it). Once the part is received by the technician, then the job can resume. This is, once again, an Odoo customization created for Company X.
    • This process falls under outsource tracking workflow. If the technician cannot repair the part in-house and needs to outsource it. Essentially, with outsource flow, Company X will outsource to a vendor who does a similar repair job – and this flow is done with an Odoo customization.
  • Also, it is worth mentioning that if the quality control inspection does not go as planned, or there is a ‘no approval’ mark, then the technician and QC individual can go back and forth until the standards are met. 
    • Once the QC approves the repair, the technician here will send the service report (sent via email or hard copy document while the device is being shipped) while the QC will move the workflow into the validate shipping stage. 
  • At this point, the shipper will pick up the product, verify all the information and clear it for shipping (mark it as ready-to-ship).
  • Company X then records the P.O. number from the customer within the sales order of Odoo before confirming that everything is ready to ship. Note that Odoo Electronic Repair ERP will not allow recording of sales until the P.O. number is marked – this is done as a preventative measure to ensure that the customer receives their device.
  • Once the sales order has been confirmed, Odoo will generate the transfer of shipment to the customer. The shipper can and will validate the sales order document.

Customer Portal (customization but also available out of the box)

Though we focused on what Company X was able to achieve with the Odoo Electronic Repair ERP implementation and customizations, the customer also reaped some benefits. With Odoo Electronic Repair ERP implemented, the customer can login and see their repair job status without having to continually contact members at Company X. Everything is online and easily accessible/visible.

This is achieved via the job portal.

The job portal not only allows customers to get all the necessary information, they can also approve and decline the quotation from here. It is seamless and easy.

Odoo Chat / Discuss

Odoo 15 has come up with some of the user-friendly features in the Odoo Discuss app such as users can create new channels, add multiple members, and have a group discussion over projects.

Let’s not forget about the external group chat where users can chat with the customer and the organization other than their own in the Discuss app itself.

There is this Up Arrow available in Odoo chat where if the users send some message with typos then they can quickly click upon that up arrow and correct the typos saving some embarrassment.

With a conference call feature available, you can have a voice or video call, share a screen, and can have a detailed discussion with the team.

From the Discuss app users can also send the invite link to the external user if they want a specific user. For instance, a specific client to join the meeting.

Odoo V15 also provides emoji reactions to messages and users can use gifs images as well, making Odoo Discuss app much more interactive to users.

Odoo V15 Features

Use Ctrl + k to make Odoo simpler 

Odoo 15 provides search shortcuts. For example, with the ctrl + k command users can: 

Access any menu pages by clicking ctrl + k then typing  /menu_name.

Directly open a chat box with another user using ctrl + k then type @user_name. 

Use ctrl + k then type  #channel_name to open the specific channel.

Mass Editing in Odoo Quotations

Odoo 15 allows collaborative editing in the document where more than one user can make changes in the same quotations at the same time. 

For instance, if one user is adding products to the quotation in the meantime another user can update the terms and conditions on the same quotation resulting in saving a lot of productive hours.

Also by using the / command user can access various text formatting options in the editor.

Odoo Planning

In Odoo Planning users can track the workload of their resources just by hovering over their name where the user can see the hours available and hours reserved for the specific resources.

With the new magnifier icon, users can directly select the task, and based on the work schedule task will be automatically assigned to the resource.

Odoo Project

From the Project Application itself you can have video conferencing and if needed share a screen with the project team for a quick discussion.

Odoo 15 has introduced the project task dependencies on the Gantt chart where if any dependency arrow is in yellow or red it is considered as a critical path. This means that there are conflicts in some tasks.

In the instance mentioned above, Odoo automatically allows the computation of a critical path by clicking the small arrow icon provided in the path where the user can resolve the conflict hassle-free.

With the on-track button in the Odoo project, users can track the status of the project and create the project milestone which makes the tracking of the project much easier.

Odoo 15 allows the user to create a detailed status report of the project.

Once the project invoice is sent to the customer via sales order the timesheet of the project gets automatically attached to the invoice making everything in one place for the client.

Odoo Website

Odoo 15 comes with an Artificial Intelligence design for website templates. This is 35% faster than the Odoo 14 website. 

Users have to just select the objective and domain of their website, then select the color palette, required features and that’s it. Within a click Odoo will build the whole website for the user.

For color palettes, users even have an option to upload an image or company logo and Odoo will extract the color from the uploaded image.

Users can add shapes to the website image.

Gradient options are available for buttons and text, even the gradient editor is available for the users.

Users can add animation to their text, images, and shapes.

Odoo eCommerce

Many upgrades have been made to the Odoo Shop website. For example, you can filter the products based on the price.

A global search option for your product is available.

Users can emphasize certain products by adding a customizable ribbon.

In Odoo 15 the Product page has been redesigned to make it more user-friendly, clean, and informative at the same time.

With the spit variant and attributes section added, the page has been made more informative.

With the visibility feature, certain content can be made user-targeted. For instance, if the user wants to provide a discount on the product to the USA-based customer then the user can switch the visibility of the discount template to the USA region.

Users can customize the flow, add a gift card option, and can also integrate the e-commerce shop with their Point Of Sale.

Every feature required for running the successful website is already available on the Odoo 15 Website, still, if the user requires some additional features, Odoo 15 allows embedding it.

Odoo Email Marketing

A new mail composer has been introduced in email marketing which consists of all the relevant features available in the website builder.

With the A/B Testing feature, users can create different variations of mails and send them to different mailing lists, and select the winner based on the click rate, reply rate, or any other provided criteria.

Odoo Point of Sale

In Odoo 15 every transaction, in point of sale right from the opening session can be executed from the frontend, the user doesn’t have to jumble between front-end and back-end.

Every product in point of sale has an ‘i’ icon, clicking that opens an info box where all the details of the product are available. Users can easily select the required product attribute from there.

With the multi-pricelist option, available users can provide different price lists to different customers.

Users also have the product configurator on their POS screen so the user can configure the product then and there without having to jump into the product configurator screen.

With the Discount button on the POS screen, users can provide a global discount during the product’s transaction.

The best part is POS is integrated with all the required hardware devices without having to use an IoT box.

During payment, if the customer is paying by cash automatic cash rounding is done based on their currency.

Users can use the Ship Later button which indicates the delivery order for the product is created and the product will be delivered to the customer’s location from the warehouse.

Then there is the Cash In / Cash Out feature, suppose the user has used their personal cash then they can click on the Cash In button and add the amount which will generate the receipt as proof, then in future, the user can claim that cash from the organization.

Then we have a customer credit section if we trigger the Customers button where users can see the credit amount that customer owes the company. Users can also reprint the old invoice for reference. Customers can also pay the outstanding amount on receivables since POS is fully integrated with all the payment terms.

Since POS is fully integrated with the backend, If the user creates the quotation order for a product and confirms it. Then, from the POS screen, the user can claim a down payment for the product from the customer.

Once the order is delivered to the customer and the payment is done then the user can settle the order from the quotation screen available in POS.

If the customer has some discount coupon then Odoo POS allows the customer to use it. The user has to just click on the Enter Code button in POS and add the coupon code to provide a discount to the customer. Very simple, right?

Once the user is done for the day they can end the session and print a summary showing the whole transactions of the day.

Odoo 15 also has new inventory labels in Point of Sale.

Odoo Barcode

In Odoo 15 Barcode, with an easy receipt finder, users just have to scan the product barcode from the receipt page, and the Odoo will automatically filter out the receipt containing the scanned product.

Odoo allows the user to create a new batch for the scanned product in case the user has multiple products from the same vendor allowing the user to create the multiple order receipt.

Odoo has also introduced the reception report with customer labels so that the user knows if the product is reserved for some customer.

Odoo 15 allows the user to scan the boxes or containers. Users can either scan the boxes or manually enter the number of boxes on the screen. Odoo also provides the barcode to identify the boxes or the container and also supports SSCC codes. 

Odoo 15 enables QR code scanning and supports GS1 so just by scanning the GS1 code users will have all the details of the product.

Odoo Inventory

The inventory team can get the notification whenever the goods are available in the warehouse.

Just by scanning the container code, Odoo will tell the user which location a specific container should be stored based on the putaway strategy the user has defined.

Odoo 15 has come up with very simplified inventory adjustments such as, once the product is stored in the proper location, it allows the inventory team to launch a cycle count either manually or automate it based on the rules set in the inventory locations.

Then we have 3 reservation methods in Odoo operations which are:

  • At Confirmation: here, once the sale order is confirmed the required product quantity automatically gets reserved 
  • Manually: here, the product doesn’t get reserved on sale order confirmation so the inventory manager will have to manually do it.
  • Before Schedule Date: here, the user will have to add the days before they want the product to be reserved.

Odoo 15 has also come up with a Wave Picking feature.

There is a Batch Reservation feature in which the inventory manager can select different picking and assign the person responsible for the specific picking.

Odoo Document

In Odoo 15 users can split or merge the Odoo documents. If users have receipts or bills they can move it to finance from documents.

Users can filter out the documents and send it to a different department from the documents application.

With AI implemented in customer invoice, the user doesn’t have to add all parameters manually.

Odoo Accounting

In Odoo 15 with advanced AI implementation vendor bills will automatically match with its related purchase order.

Users can add the fleet information in their vendor bills since Odoo accounting and fleet are fully integrated with each other.

Users can also create the different disallowed expenses categories in the accounting.

Odoo 15 supports OSS which regardless of which country the user selects based on the selected country the taxes will be applied. 

The best thing about Odoo 15 accounting is it supports multiple taxes for a single customer.

More banks have been integrated with Odoo 15, in total around 25000 banks have been integrated with Odoo.

Odoo15 has Advance Payment Tolerance methods that allow automatic reconciliation of bank transactions.

In tax reports, Odoo supports multiple tax statements and users can filter out the report based on the OSS.

Also, Odoo allows you to create a provisional account for all the unbilled records at once.
