After going through a lot of research and discussions with a variety of development companies Guy made his decision to entrust the CRM and integration portions of their project to Bista Solutions, Inc.

The Challenge

There were many challenges during the project Development. For Bista, SymlSys was a very unique project.

We had five or Six third party applications integrated with Odoo. For these third party applications, SymlSys hired people all across the globe working in different time zones, using diverse methodologies.

It was important for Bista Solutions to coordinated with them according to the respective time zone and make this project a successful implementation.

Integrations | Strategy

There was a high level of customization done with the CRM module on lead to opportunity as well as the product forms. The look and feel of the ERP was designed to look very different from the standard Odoo version. Alternatively, it looks like their own custom built mortgage application.

To deal with the different time zones we structured a modular design strategy where modules were developed one at a time.  This allowed for better development flow. This strategy allowed for a successful project implementation.

We started with Atmail Integration for mail server integration.  Next we moved on to Morweb, Visdom web form, Equifax and UW applications.

We also made an online Task list wherein the client has the ability to upload their tasks every day and mark the tasks when finished. This gives the client clear visibility into the status and updates of the project on a daily basis.

In-depth Project Roles

Atmail : SymlSys was using external mailing application to manage their Emails. They wanted Odoo to connect with Atmail and fetch all contacts and calendar/event details from Atmail to Odoo.

Morweb : This is Canadian Mortgage applications that check the client details and assign an Application number for the mortgage application. It checks to make sure the customer has provided all necessary details.

Visdom : This is a SymlSys internal web form. An Odoo connector was developed with this web form.  It authenticates required details from Odoo onto the web form and vice-versa. This Visdom Web form was developed by the Bista Solutions Web team.

Equifax: Equifax is a Canadian Credit check application. Whenever users apply for a mortgage, Odoo Communicates with Equifax and returns a Credit score to OpenERP. This becomes an eligibility criteria for the user to proceed with a mortgage.

Underwriting App: This Application was for the underwriters of a Mortgage. Once the Mortgage has been approved the underwriters are assigned and they manage the client mortgage information and processing.

Sciencetech completes Odoo OpenERP integration with Magento Website

Sciencetech Completes OpenERP Integration with Magento Website (2014) Sciencetech Inc, a privately owned Canadian research and development company, with help from Bista Solutions, has finished integrating its new Open Source resource management software (OpenERP) with a brand new e-commerce site powered by Magento. Sciencetech offers a huge variety of spectroscopic, solar simulation, and far infrared/terahertz (THz) instrumentation, and so the process of integrating a single software package to handle both the front and back end of the business is considered a major advance for the small company. The initial steps of this integration involved switching the company over from its old manufacturing control software and client resource management program, MYSIS and ACT!, and combining the two into the single open source software package offered by OpenERP. This step i financed in part by the Government of Canada’s Industrial NRC DTAPP program, which provided both training and financial support for the shift.

“This is a big step forward,” says Sciencetech’s President, Scott Hafekost. “As a high tech company, having a modern and adaptable website is a priority for us. Our old website, which we built around a existing Drupel framework, functioned well enough for its time, but it was long overdue for a complete overhaul. But with only 35 people on staff, it was difficult to prioritize internal resources to get this done. This is why we reached out to Bista Solutions, who worked together with us to implement both OpenERP and the Magento website.”

By using one software package to manage both the manufacturing and sales portions of the company’s operations, Mr. Hafekost stated that a remarkable increase in efficiency has already been measured. Adding the functionality to update the website daily with information in their database is a critical step in the corporation’s goals of streamlining and modernizing operations.

Manage your sales Taxes better in Odoo

Calculating the correct sales tax for an order can be quite a complicated task. Sales Taxes not only differ from state to state but can also be different within the zip code.

Also sales taxes can be different for different types of products.  In early November  2013 we signed up a client that needs to calculate sales taxes and did not want to go with the existing Odoo OpenERP connector because it had a per transaction fee. They were thinking of using one of the solutions that allow you to download an excel file that has sales taxes mapped by zip code. There are a couple of problems with this solution. The most obvious being that sales taxes can differ within a zip code. Also sales taxes can be different across products e.g. some states don’t charge taxes on shipping even though they may tax the actual product being shipped. So began the hunt for a solution that was relatively inexpensive, comprehensive and accurate and we found TaxCloud which is completely free.

TaxCloud is one of the six companies that is certified with SSTA (Streamline Sales Tax Agreement) which provides assurance regarding the accuracy of their data and TaxCloud has integration with most of the leading software solutions like Magento. TaxCloud is free because it is paid by the states where they file taxes and transfer the funds. TaxCloud provides for reporting, filing of taxes and also handles exemptions in situations such as sales to non profits, etc.  With this connector for Odoo OpenERP we believe there is now a solution that can assist in filing sales taxes accurately, increase productivity and reduce the risk of audit without incurring a per transaction fee.

Cloud ERP on boarding mistakes to be avoided

The whole purpose of implementing an ERP solution is to get more visibility and increase efficiency in the organization. ERP solutions like OpenERP streamlines businesses by integrating and consolidating systems while connecting the entire organization.  But even with cloud ERP the software only works after proper onboarding is done by the company.  That’s easier said than done.

Cloud ERP being fairly new in the industry still has some resistance from deployed ERP implementations. The primary reason for this is the execution of the project. None the less Cloud ERP will have a smooth onboarding if certain key points are avoided:

1. Poor Planning with low executive buy-in and support

Without proper planning, an ERP project is doomed to fail.  Simplify the process with ERP on demand for easier planning and budgeting. It’s very important to carry out a BRD (Business Requirement Document) before on boarding the Cloud ERP.

2. Change Management and inadequate training

It’s human nature to resist change especially when it comes to technology. It is important to follow change management guidelines to create a change of culture among the staff. During the onboarding process, start the training process early with easy to use software and the process will go much smoother. Also, even before the cloud is completely deployed the users should be given a ready to use account just to get hang of the new system.

3. Viewing ERP as a simple IT project

Having a fully integrated ERP system can redefine the way a business operates.  For this to happen and to get the most of an ERP cloud or on-premise system, the entire organization needs to buy-in.  In order for them to do that, the project needs to be a part of everybody’s daily agenda and communications.

With cloud ERP many of the old difficulties faced by on-premise implementations, but many of the same mistakes can still be made.  It still takes planning, management, and buy-in to make it work properly. Remember, it’s a change in technology and for a smooth flow, your resource needs to be adaptive.
